Start with the audience and the business question

Before choosing a stage design, establish who is attending and why their time together matters. A leadership summit, customer conference and industry discussion need different programme structures. We work through the audience groups, intended takeaways, speaker roles and opportunities for conversation. That creates a practical basis for deciding session lengths, panel formats, breakouts and networking. It also helps identify what should be communicated before the event, instead of using valuable stage time to cover information guests could have read beforehand.

Make the programme fit the room

A published capacity does not explain whether guests can see a presentation, move to a breakout or collect coffee without interrupting another session. Venue planning connects the agenda with seating, stage position, presentation screens, registration and circulation. Speaker preparation connects with content collection and rehearsal access. We identify these dependencies before production choices are fixed. For a programme with parallel sessions, the plan also needs clear room names, guest directions, speaker handovers and an agreed way to communicate changes.

Define the decision process before show day

A useful conference plan names the people approving content, releasing presentations, handling speaker changes and deciding whether a session should overrun. The run sheet brings those responsibilities together with hospitality and production timings. Where recording, streaming or remote participation is required, we define the intended audience experience and the additional scope before quoting it. After the event, the review can compare attendance, participation and agreed feedback measures with the original purpose. Those measures should be chosen in the brief, not invented after the room empties.

Yes. Share the audience size, programme outline, date range and budget assumptions. We can help define the room and access requirements that a venue shortlist needs to satisfy.

Can a conference include remote speakers or an online audience?

It can, but these are separate planning requirements. We would clarify how remote participants speak, see content and ask questions, then include the appropriate production and rehearsal scope.

What do you need to prepare a useful proposal?

The event objective, audience profile, approximate attendance, date, venue status and programme ambition are a good start. Tell us which elements your internal team or other partners already own.
