Specify the experience before the equipment

The useful starting point is what guests need to hear, see and follow. A panel discussion, product reveal and awards sequence each place different demands on the room and crew. We translate the programme into a production brief before evaluating equipment proposals, helping the client compare suitability rather than quantity.

Screen dimensions, lighting positions and stage configuration are considered with room geometry and content. Bigger is not automatically better: readability, sightlines and the relationship between presenters and visuals matter. Technical specialists confirm system design and operating requirements within their responsibilities.

Make entertainment part of the running order

Entertainment has practical consequences beyond the performance fee. Artist availability, technical riders, hospitality, dressing space, changeovers and rehearsal time can affect the production schedule. We consider these alongside the tone of the event and the audience, so a performance supports the programme rather than arriving as a separate arrangement.

The client needs a clear view of what is included and what remains subject to confirmation. Music, content, performance and venue permissions are addressed with the relevant parties where applicable. The scope and required approvals should be settled before dependent production decisions are treated as final.

Protect the moments that cannot be repeated

A reliable show depends on preparation as much as hardware. Presentation collection, file checks, version control and rehearsal time help expose problems before the audience enters. The running order needs to connect speaker movements, content, microphones, lighting and performance cues, with a clear person responsible for calling the agreed sequence.

We also discuss what should happen if something changes: a delayed speaker, a replacement presentation or an unavailable playback source. Contingencies should match the importance of the moment and the agreed budget. No plan removes every risk, but an explicit fallback gives the team a usable response. Agreeing who can approve a last-minute content change is part of this preparation, including when the team should defer it.

Should we book entertainment before production?

The decisions should inform each other. A performance rider may change stage, power, sound and access needs. Review those requirements before finalising a production specification.

Is a technical rehearsal necessary for a short event?

Duration alone does not determine rehearsal needs. A short programme with a reveal, multiple presenters or tightly timed cues may need more preparation than a longer, simpler session.
