Will the venue accommodate the actual event?

The advertised capacity does not show what remains after a stage, screens, technical control position, registration and circulation are included. We begin with the programme and audience requirements, then assess how those elements fit together. A room that works for a seated dinner may be less suitable for a conference with demonstrations or breakouts.

The evaluation considers dimensions, sightlines, ceiling height, access and supporting spaces. The aim is to identify compromises before signing, not discover them when a layout is already in production. Venue confirmations and specialist checks are gathered where relevant to the proposed scope.

Understand the conditions beyond the ballroom

Loading access, goods lifts, service routes and setup timings can change the production plan materially. So can venue rules on sound, power, external suppliers and installations. We bring these questions into the venue conversation alongside guest-facing considerations such as arrival, accessibility, parking and weather exposure.

Package inclusions also need to be understood in practical terms. An included screen or basic sound system may not meet the programme requirements.
